The pricing behind the calculator

All figures are annual-commitment list prices in USD, per user per month. Monthly-commitment billing costs more on both platforms. Prices were verified on ; vendors change them without much notice, so confirm at checkout.

One caveat worth stating plainly: Microsoft’s current Business Standard and Premium listings bundle Copilot, and Google now bundles Gemini across the Workspace business tiers. The pairings above are therefore roughly like-for-like on AI features, but they are not identical products. Microsoft also sells lower-priced variants without Teams, and if your team does not need Teams those change the maths in Microsoft’s favour.

How to read the result

  • The discount applies to year one only. The three-year view deliberately charges list price for years two and three, because that is what actually happens at renewal.
  • Seat count matters more than plan choice at small sizes. Moving from five to ten users costs more than moving from Starter to Standard at five users.
  • Do not buy a tier for one feature. The most common overspend is buying Standard for meeting recording that a team records twice a year.

Where the promo code fits

The 10% first-year figure in the calculator comes from the Google Workspace referral promotion codes, which apply to eligible new Business Starter and Business Standard accounts. Frequently asked questions

Is annual billing always cheaper than monthly?
On both platforms the annual commitment carries a lower per-user rate, but it locks the seat count for the term. If your headcount is genuinely uncertain, the flexible monthly rate can be worth the premium.

Does the 10% code apply to renewals?
No. It reduces the first year only. Budget renewals at list price, which is what the three-year view here does.

What happens if I add seats mid-term?
You pay for the additional seats for the remainder of the term. Adding is straightforward on both platforms; removing seats before the term ends generally is not.
